Code of Conduct Policy Statement

 

The (HIDDEN FIST MARTIAL ARTS FOUNDATION GOOCHIKF SCUNTHORPE & HULL CLUBS) is committed to fair play and equality in sport.  The essence of good ethical conduct and practice for coaches and volunteers is summarised below.   This code of conduct has been produced to safeguard children and young people and to reduce the risk of adult being accused of improper or unprofessional conduct.

 

All Coaches and volunteers must:

 

  • Respect the rights of children and young people

  • Never spend excessive amounts of time alone with a child away from others

  • Promote enjoyment rather than focus on winning at any cost

  • Never take a child alone in a car no matter how short the journey unless under exceptional circumstances e.g. occasions where the child or young person requires transport in an emergency.

  • Treat all children and young people with dignity and respect

  • Never take a child to your home

  • Consider the wellbeing and safety of participants before the development of performance

  • Never allow or engage in inappropriate  touching in any form

  • Make sure all activities are appropriate to the age, ability and experience of those taking part and ensure all participants are suitably prepared physically and mentally when learning new skills

  • Always work within health and safety regulations

  • If a child has a disability or special education needs always have appropriate knowledge and/or training and obtain the consent of parents/guardian before undertaking care of an intimate nature

  • Report any concerns about the welfare of a childas outlined in the:

  • Never condone rule violations or the use of prohibited substances, always promote the positive aspects of the sport e.g. fair play

  • Always work in and be seen to work in an open and transparent way

  • Maintain reasonable levels of confidentiality at all times and only share information on a need to know basis

  • Never swear or shout at a young person, always use appropriate language

  • Encourage performers to value their performances and not just results

  • Be a positive role model for children and young people at all times, by displaying consistent high standards of behaviour and appearance

  • Follow all guidelines laid down by the relevant governing body example e.g. supervision ratios

  • Never engage in rough, physical or sexually provocative games, including horseplay

 

Each Student Who becomes a Instructor Over the Age of 18 must sign a document such as this upon joining our club.

for Volunteers & Instructors

VOLUNTEER POLICY 01 JULY 2012

Hidden Fist Martial Arts Foundation Volunteer Policy

 

The Hidden Fist Martial Arts Foundation recognise the value of contributions that all volunteers make to this Foundation. 

 

Involving volunteers will enhance our ability to run a safe and fun environment for all students to study in peace and safety. And also enhance our ability to deliver a quality service to those who we cater for.

 

Hidden Fist Martial Arts will ensure:

 

  • All volunteers are fully vetted through CRB Checks.

  • That the contribution of Volunteers does not go unnoticed.

  • That all Volunteers will receive relevant training.

  • That all Volunteers are clear about the taks they are asked to perform in service to this Foundation.

 

Recruitment

 

All Volunteers will be selected as follows:

 

1. A Volunteer Application Form

2. Personal Specification about Job available – outing skills and experience required.

3. Task Description – outlining what a Volunteer is being asked to do.

 

  • Volunteers will be invited to attend a selection interview to :

  • Explain and discuss the voluntary opportunity.

  • Explore the volunteer’s skills and interests.

  • Explore any training needs (i.e., child protection courses, vulnerable adults courses, working with disabled course, disabled coaching & instructor awards in our specific Martial Arts Systems)

  • Give the volunteer the opportunity to ask question about the Foundation and its Clubs.

  • Volunteer will be asked to give the name and contact numbers of 2 referees who will be contacted prior to commencement of any voluntary work.

  • If, following the recruitment process, it is felt a voluntary position is not suitable for specific volunteers the volunteer will be contacted as soon as possible, and refer to the Volunteering Development Officer will endeavour to find a more suitable voluntary opportunity.

Hidden Fist Martial Arts Foundation and its clubs are firmly committed to diversity in all areas of its work.  We believe that we have much to learn and profit from diverse cultures and perspectives as well as offer support to all in our community’s.  And that diversity will make our Foundation more effective in meeting the needs of all our members both new and old alike.  We are committed to developing and maintaining high standards and a Foundation which differing ideas abilities, backgrounds and experiences are able to participate and contribute together as one team.

 

Expenses

 

Volunteers should not suffer any financial loss by volunteering at Hidden Fist Martial arts Foundation however actual out of pocket expenses may not always be reimbursed due to the fact we are a non- profit Foundation and do not have the means to pay out expenses to our volunteers.  All Volunteers should be made aware of this before deciding to join our Foundation.

 

Why pay expenses?

 

  • Paying expenses to volunteers is essential element of good practice

  • The payment of expenses ensures that volunteering is open to everyone

  • This Foundation and other organisation joining our Foundation will benefit from the skills and abilities of all section of the community.

  • If an organisation does not pay expenses it cannot claim to be promoting equal opportunity.

 

What expenses should be paid for?

 

  • Fares to and from the organisation or place where the volunteer is involved

  • Cost of travel incurred in the course of voluntary work

  • Any out-of –pocket expenses e.g. telephone calls

  • Mileage – at an agreed rate for volunteer drivers

  • Meals taken in the curse of voluntary work (Upper Limit set to £5)

 

If it is impossible to refund expenses, this should be made clear to all volunteers becoming involved with this foundation and other organisations involved with our volunteers.  This should reviewed as soon as possible and the cost of expenses should be included in any financial grant proposals and budgets in the future.

 

It is important to only reimburse the actual amount spent on travel or out –of –budget expenses.  Any over paying of amount could lead to difficulties for the volunteer and the Foundation. e.g. with benefits agency or Tax office.

 

It is important to be aware of current legislation with regard to volunteers in receipt of any benefits and also the situation regarding volunteer drivers claiming travel expenses.  You can contact your local Volunteer Bureau which will have up to date information and leaflets covering these issues.

 

Training/Induction

 

All Volunteers will receive induction, training and other learning experiences to enable them to improve their work performance, taking into consideration the need of this Foundation and the resources we have available.

 

The purpose of induction is to welcome volunteers into this Foundation and make them feel a valued member and addition to the Hidden Fist Martial Arts Foundation and its clubs team.  Also give them the information they need and explain policies and procedures to them.

 

Support and Supervision

 

person they are to report to and who is responsible for induction, regular support meetings and general meeting where any difficulties or issues raised can be discussed.  In the event that difficulties arise that unable or cannot be solved through support meetings then club committee members should be informed.

 

Insurance

 

Hidden Fist Martial Arts Foundation and its clubs will ensure that Volunteers understand they are all covered by adequate Insurance.

 

Health and Safety

 

Hidden Fist Martial Arts Foundation and its clubs have a duty of care to avoid exposing volunteers to risk, and will carry out regular risk assessments and will also ensure that volunteers are kept up to speed and provided with all relevant information during induction to the Foundation.

 

Confidentiality

 

We ask all Volunteers to sign a confidentiality form on becoming a volunteer member of our team.  The Hidden Fist Martial Arts Foundation will also ensure that all volunteers are of their responsibility for maintaining confidentiality of all privileged information to which they are exposed to while volunteering at Hidden Fist Martial Arts Foundation and its clubs.  Whether this information involves staff members, other volunteers, helpers, clients or other persons, or involves the overall business of this Foundation and its clubs.END OF VOLUNTEER POLICY
